Frequently asked questions

What people ask us most before starting a project.

Where to start

Where do we start?

With a conversation about your business: where work gets stuck, what tools you use and what you want to achieve. From there, we define a starting point with a clear scope and goals.

Do you also develop and implement?

Yes. We connect assessment, design, development and training. We support the launch and evolution of the solution with the team that will use it.

Do we have to change our tools?

First we look at what you already use. The proposal aims to integrate AI into your processes and systems; any change is weighed on its usefulness and feasibility.

How do we measure whether it's working?

We agree on metrics before we start: time per task, quality, errors, operational capacity and real usage. We compare the starting point with the results of the process.

How long does it take to see real results?

A few weeks. We prioritise cases with quick impact and combine strategy, development and training from the start to deliver tangible results.

Do we need an in-house technical team?

No. We take care of the technical side and train your team so it can work with the solutions on its own.

What happens to our data?

We sign a non-disclosure agreement (NDA) before any assessment and define data access and processing requirements before building. Data never leaves your infrastructure without explicit agreement.

AI in your company

How do I know whether AI can really add value to my company?

If you have manual processes or decisions that require analysing information, there is a clear opportunity. In the assessment we look together at which processes to redesign, what to build and what your team needs to learn.

Does this stop at strategy or do you also implement it?

We don't stop at strategy. We define what to do, build it and support the team in adopting it.

What's the difference between you and a traditional consultancy?

We don't stop at the report. We join your team, redesign the process, put it to work and train the people until they no longer need us.

Do you have experience in our sector?

We have worked with more than 10 different industries: retail, logistics, insurance, training, manufacturing and healthcare, among others. But processes matter more than the sector. We've probably already worked on something very similar to your case.

How is data confidentiality handled?

We sign non-disclosure agreements (NDAs) before any assessment. Data never leaves your infrastructure without explicit agreement.

Do you offer training for the team?

Yes. In-house training is part of the adoption process. We don't want you to depend on us: the goal is for your team to know how to use and maintain the solutions.

AI-Adoption

What will I actually get from the assessment?

An actionable roadmap with clear priorities: which processes to redesign, what to build and what capabilities your team needs.

How do we avoid wasting time on use cases that don't work?

We prioritise from the start. We only work on cases with real impact that are feasible in your context.

Does training really change anything for the team?

Yes. It's based on your real processes. The team doesn't just learn tools, it learns to work better with them.

Do you have experience with companies like ours?

Yes. We have worked across more than 10 different sectors, which lets us adapt quickly. We've most likely already seen problems very similar to yours.

What if the team doesn't adopt AI?

We work directly on their day-to-day. When they see the impact on their work, adoption comes naturally.

What guarantees do you offer?

We work with success metrics defined at the start of the project. If the solutions don't reach the agreed KPIs, we iterate until they do at no extra cost.

How do I justify this internally?

With measurable impact. Not only in efficiency, but in the ability to scale and improve results.

AI-Automation

What kinds of tasks can we automate?

Repetitive tasks such as emails, reporting or updating systems, but also parts of the analysis. We also build systems that help the team work with more context and less effort.

Do we need our own data to get started?

Not always. In the assessment phase we evaluate what data you have available and design the strategy around it. In many cases it's possible to start with limited data.

What size of company do you work with?

We work with medium-sized and large companies that already have established processes and want to strengthen them with AI. The recommended minimum is a team of 20 people.

Which AI models do you use?

We use the best models available at any given time, including open source and proprietary models when the case calls for it. We are technology-agnostic: we choose what works best for each process.

Can it integrate with our current systems?

Yes. We design solutions to integrate with your tech stack: ERPs, CRMs, databases, internal APIs and communication tools.

How much impact can we expect?

A significant reduction in operational workload, but also teams with greater capacity to deliver and better access to information.

What happens if something fails in the automation?

We design controlled, traceable systems. There is always visibility and the ability to step in.

How long does it take to be up and running?

It depends on the project. We aim for quick impact from the start.

AI-Solutions

What exactly is an AI Solution?

A complete system that automates processes and adds intelligence to the workflow, helping the team make better decisions.

How is it different from a simple automation?

Here we combine multiple processes, business logic and analytical capability. It doesn't just execute, it also helps decide.

How do I know if I need a complete solution?

When the problem affects several areas or limits your team's ability to scale.

Does this adapt to how we work?

Yes. We start from your real process and redesign it with you, not the other way round.

Is it worth the investment?

Yes, when it lets you do more with the same team, make better decisions and improve results.

About AI Mate

Why did you decide to focus on AI?

Because we saw that, applied well, AI doesn't just optimise processes, it multiplies what people can do.

What really sets you apart?

We bring the latest in AI and make it work on today's challenges, inside your team. When we finish, your people know how to do it without us.

How do you work with in-house teams?

Hands-on, fitting into the way they work and helping them evolve it.

Are you more consultants or more technical?

Both. We understand the business and deliver the technology.

How do we start working together?

With a first conversation to understand your context. From there, we identify where there is real impact and propose a concrete starting point.

What kinds of projects aren't a fit for you?

Projects without a focus on real impact, or where AI is used just because it's trendy.
